Google Business Profile review management
Store to Door Review Automation is a tool for managing reviews of Store to Door’s own Google Business Profile. The business owner authorises access using Google OAuth. The tool uses the Business Profile management permission because Google requires that permission to read reviews and publish review replies.
The tool accesses the authorised business account and location identifiers, review identifiers, reviewer display names, star ratings, review text, timestamps and existing business replies. It uses this information to identify unanswered reviews, prepare proposed replies and publish replies specifically approved by the business owner. Scanning does not publish replies. The posting workflow checks for an existing reply and stops if one is found.
Proposed replies may be prepared using editable templates and human review, including assistance from ChatGPT when an authorised operator supplies review information for drafting. This can include the reviewer’s display name, rating and review text. Operators approve the wording before posting. The deployed scan does not automatically send review data to a generative AI service.
Storage, access and retention
The review tool runs in Store to Door’s Google Cloud project. OAuth credentials are stored in Google Secret Manager. The review queue uses private Google Cloud Storage with access restricted to authorised operators and the automation’s service identity. Pending review entries and drafts are valid for 29 days from collection and must then be refreshed from Google before use. A storage lifecycle rule also removes queue files aged 29 days. Routine cloud scan logs avoid recording credentials and review text. Information shared with ChatGPT for drafting may remain in the operator’s chat history under that service’s retention settings; it is not covered by the queue’s cleanup rule.
Google review information will be used only to operate this review management workflow. It will not be sold, used for targeted advertising, or used to train general-purpose AI models by Store to Door. The tool’s use and transfer of information received from Google APIs will adhere to the Google API Services User Data Policy, including its Limited Use requirements.
For ordinary order and business records, retention depends on operational needs and applicable record-keeping obligations. Contact us for information about the records relating to you.
Control and privacy requests
The business owner can revoke the tool’s Google access through Google Account connections and disable its scheduled scan. Revocation stops future authorised access; stored queue data must also be removed by the operator. To request access to, correction of or deletion of information we hold, or to raise a privacy concern, email info@storetodoorau.com or call 0404 742 791. We will review your request, including any applicable record-keeping obligations. Deleting local review data does not delete the original public review on Google.
